The short version

It counts back from your event date and hands you dated steps - when to ask for quotes, when to sign and pay the 50% deposit, when to lock the headcount, when the balance window opens at 14 days and closes at 7, and when to send the itinerary. Lead times stretch for weddings, prom season, October, and December.

"Are we too early to book, or are we already late?" That's the question, and it's a fair one, because the answer changes depending on what month you're in and what kind of night you're planning.

Your event date is the only one you know for certain. Four others hang off it — when to ask, when to sign, when the headcount stops moving, and when the money is due — and the checklist above works all of them out. What follows is where each date comes from, plus two timelines with real calendar dates on them.

The seven dates that end up on your list

Every timeline has the same shape. Only the spacing changes.

  1. Request quotes. The date, hours, headcount, pickup and stops in one message, and you get back written all-inclusive totals you can set side by side.
  2. Sign and pay the 50% deposit. This is the one that matters. A quote holds nothing; the signed contract and the deposit do, and whoever signs has to be 21 or older.
  3. Lock the headcount. Capacity ratings are firm, so the number needs settling before the money is.
  4. Balance window opens. The balance falls due 7 to 14 days out, and this is day 14.
  5. Last day to pay the balance. Day 7.
  6. Send the final itinerary. Three days out — pickup address and time, every stop in order, the drop-off, and the name and phone number of whoever's standing at the curb.
  7. Event day. Everyone at the pickup ten minutes early with that contact's phone switched on.

There's a button under the checklist that copies the whole thing as text, so it can live in a shared calendar, a planning doc, or the group chat where people will see it.

Why a wedding starts six months out and a birthday four weeks

Step one moves far more than the rest. Those starting points come from our guide on how early to book in Houston.

Event typeStart asking for quotes
Birthday, bachelor or bachelorette, night out4 weeks before
Concert or game4 weeks before
Airport or cruise transfer2 weeks before
Corporate or holiday party8 weeks before
Prom or homecoming10 weeks before
Quinceañera12 weeks before
Wedding26 weeks before

Then the calendar has its say. Any Saturday in March, April or May gets bumped to at least ten weeks, because prom, spring weddings and RodeoHouston are all reaching for the same vehicles, and every booking on those Saturdays carries a six-hour minimum. Friday and Saturday nights in October get at least six weeks between homecoming, weddings and football. December weekend nights get eight, and New Year's Eve gets twelve.

None of that is superstition, it's supply. About 49% of inquiries with a group size in our Houston inquiry data were for 11 to 20 passengers, so buses in that range are the first to disappear on a busy date. At the far end, only about 5% were for 31 to 40 passengers — and there are correspondingly few vehicles that size. Either way, a busy Saturday goes to whoever asked first.

A spring wedding in League City, dated out

Suppose you put in Saturday, April 17, 2027 and choose Wedding. April Saturday, so you'll see the six-hour minimum and a spring warning. Weddings already start 26 weeks out, which is longer than the spring rule asks for, so the wedding lead time wins.

That seven-week gap between quoting and signing isn't padding. It's the time you need to settle the venue timeline, count how many guests are really staying in the hotel block, and decide between a shuttle and a coach without rushing. Weddings were about 6% of inquiries with a recorded event type — a smaller share than most people expect — but they're the most schedule-sensitive trips we plan. A couple marrying near League City or Clear Lake with guests parked up by the Galleria has a long guest run on their hands, and that's exactly the plan that needs the months. Our wedding transportation guide handles the day itself.

A prom on an April Saturday

Now put in Saturday, April 24, 2027 and choose Prom or homecoming.

Two differences worth catching. The six-hour minimum applies, so quote for six hours or more from the start rather than being surprised. And the day-of note changes, reminding you the trip is dry unless a parent or guardian rides. Special event dates, prom Saturdays among them, are non-refundable regardless of notice — one more reason the headcount should be settled before anyone signs anything. The prom page covers sizes and how the night runs.

If some steps are already behind you

Open the checklist late and a few dates will be in the past. Those get marked "Do now" with the date they should have happened, rather than quietly disappearing, which is deliberate. It isn't a verdict on your chances. It's a list of what to do this week, in order.

Two warnings appear as the date gets close:

  • Under two weeks away. Ask for quotes today and expect to choose from what's still free. The balance window may already be open by the time you sign.
  • Seven days or fewer. Inside seven days, payment in full is due at signing rather than a deposit.

A same-week booking on a Tuesday is often completely straightforward. The same request for a Saturday in April or December usually means a different vehicle than the one in your head.

Where the payment dates come from

They're set by our booking terms, and they make more sense when you know what each one is doing.

  • The deposit is 50% and non-refundable. It's the thing that takes the vehicle off everyone else's list, which is why it isn't refundable.
  • The balance is due 7 to 14 days before. You'll see both ends of that window. Paying on day 14 is the calmer choice, because it leaves room for a card that declines.
  • Cancellations inside seven days are charged in full. Outside seven days, the deposit can sometimes become credit toward a future booking, approved in writing.
  • Changing size after signing is the hard one. Times and route tweaks are usually easy. Finding a bigger bus on a busy weekend often isn't possible at all.

The whole sequence, including the ID and card verification the signer completes, is in our guide to how booking and deposits work, and the exact wording lives in the rental terms.

The step that trips people up

It sits between steps one and two. The organizer signs, pays half out of their own account, and then spends three weeks chasing eleven friends for money. Collecting first avoids all of that. The split cost calculator turns your quote into exact shares and drafts a message that already has the deposit and balance dates in it.

If you're shopping for something like the 30-passenger party bus or bigger, treat the quote date on your checklist as the latest you should be asking, not the earliest — there simply aren't many of them. When you're ready, send the date and the plan through the quote form, or call or text (281) 549-2511 between 8 AM and 8 PM.

When should I ask for a quote for a birthday?

Four weeks out is the starting point for birthdays and nights out generally. Land on an October weekend and that becomes six, December eight, a spring Saturday ten. Asking earlier has never hurt anyone. Just remember the quote itself reserves nothing — the deposit date is the one that protects you.

Is the balance due 7 days or 14 days before the event?

Anywhere in between, which is why the checklist shows both ends. Day 14 is when the window opens; day 7 is the last day to pay. Paying near the start of it is the version where a declined card is a minor annoyance instead of a problem with your booking.

What if my event is less than a week away?

You can still book, assuming something's free, but payment in full is due when you sign rather than a 50% deposit. The tool flags that and marks the earlier steps as "Do now". Call or text rather than filling in the form, because availability at that range is a conversation, not a line.

Why does a wedding get 26 weeks?

Because it's the most schedule-sensitive trip anyone books with us. The shuttle has to fit a ceremony time, a hotel block and a venue's own rules, and spring and October Saturdays are the busiest dates on the calendar. Six months gives you room to compare vehicles and settle a guest count before you sign anything.

Can I change the date after paying the deposit?

The deposit is non-refundable, but it isn't always lost. Outside seven days of the event, management can often apply it as credit toward a future booking, and that approval comes in writing. Inside seven days, a cancellation is charged in full. Prom Saturdays and certain other special dates are non-refundable whatever the notice.

What goes in the final itinerary three days out?

Pickup address and time, every stop in order with its address, the drop-off, and the name and cell number of the person who'll be at the curb. Weddings should add the ceremony time and the venue's loading instructions. For prom, name the parent who's the contact on the night.

Does the timeline know whether a vehicle is free?

No, and it doesn't pretend to. It works purely from your date and event type. Whether a given vehicle is open depends on the day and the vehicle, and the point of the dates is to make sure you ask while there's still a choice. Send us the date and you'll find out what's still open.

Can I share the checklist with the group?

Yes, that's what the copy button under it is for. It takes every step with its date, plus the minimum hours that apply to your date, as plain text. Paste it into a shared calendar, a planning document, or the thread so nobody has to ask you when their share is due.
