The short version
Match the vehicle to the job and the rest gets easy - an executive Sprinter for ten or fewer, a 24-passenger shuttle for a department, a 36- to 56-passenger coach for a full office. Weekday trips can often book at a three-hour minimum, your quote already covers driver, fuel, taxes, and gratuity, and a 50% deposit holds the date.
The calendar invite reads "Client dinner, 6:30 PM, downtown," the attendee list has fourteen names on it, and the organizer field has yours. Nobody has said out loud that you're the one who'll hear about it if the group walks in at 6:50, but you know it. This page is written for the person holding that invite.
Here's what it covers: which vehicle suits which kind of company trip, how the weekday rules quietly help your budget, what we need from you to run the day properly, and exactly what a quote does and doesn't include.
Four very different days, all filed under corporate
"Corporate event" is a label stretched over jobs that have almost nothing to do with each other. Working out which one you've got is the quickest route to a quote that makes sense.
Dinner with a client
Six to twelve people, a restaurant in the Galleria area, River Oaks, or downtown, and a host who wants the conversation running before anyone sits down. Lighting is irrelevant here — forward-facing seats are the point. The 10-passenger executive Sprinter is almost always the answer, with captain's chairs and a standing-height door so nobody has to fold themselves into a back row in a suit.
The holiday party or awards night
This is the one company trip where a party bus is the right call. People want to loosen up, the evening has a clear start and end, and the firm would much rather nobody drove home. A 30-passenger party bus covers a department nicely, and our holiday party page gets into December timing, which is its own problem.
The site visit
Investors, auditors, or a new-hire cohort going from a downtown tower to a facility along the Ship Channel near Pasadena or Baytown, or out to a campus in the Energy Corridor. Daytime, seated, dry. The thing to flag when you ask for the quote is gate requirements — some industrial sites want names submitted ahead or credentials from everyone aboard, the driver included, and that's much easier to sort out a week early than at the guard shack.
People flying in
Out-of-town attendees landing at Bush Intercontinental or Hobby, headed for a hotel or straight into a meeting. Luggage usually decides this one, and there's more on that below. Meet points and flight-delay handling are covered on our airport transportation page.
Most company trips are smaller than people expect
Our Houston inquiry data shows about 31% of inquiries with a group size were for ten passengers or fewer. We don't have enough corporate-only records to publish a corporate figure, so we don't, but the pattern lines up with what companies ask us for: a leadership team or a client party far more often than a whole floor. For groups that size, a bus is mostly empty carpet.
| Headcount | Vehicle | Best suited to |
|---|---|---|
| Up to 10 | 10-passenger executive Sprinter | Client dinners, board members, roadshow days |
| 11–24 | 24-passenger shuttle bus | A department, a training class, a site tour |
| 25–36 | 36-passenger coach bus | Regional teams, recruiting days |
| 37–56 | 44-passenger coach or 56-passenger charter coach | All-hands offsites, airport groups with bags |
| Social evening, any size to 45 | Party bus | Holiday parties, sales kickoff celebrations |
Sprinter vans are a thin slice of what people ask about — roughly 7% of inquiries that named a vehicle. That's useful to you for one practical reason: they're requested less often, so on a midweek date there's usually one open.
An executive Sprinter seats a client party without anyone climbing over a bench.
Capacity ratings hold on every vehicle, without exception. If the RSVP list says 25, a 24-passenger shuttle isn't the answer — and the person left standing at the curb will turn out to be somebody's manager.
Tuesday is the friendliest day on your calendar
Friday and Saturday nights start at four hours. Sunday through Thursday, plus some daytime slots, can book at three. Since business events cluster on Tuesday, Wednesday, and Thursday, that second rule is the one that'll apply to you most of the time.
It also happens to fit the work. About 53% of the inquiries we see with a requested duration ask for three to four hours, which is a client dinner almost exactly: a 6:00 PM hotel pickup, a 6:30 reservation, everyone back by 9:00.
One exception catches planners out every spring. Every Saturday from March through May carries a six-hour minimum whatever the occasion, because prom demand takes over the calendar. An awards banquet on an April Saturday means either planning for those six hours or moving to the Friday.
If your day has several legs — hotel to office, office to lunch, lunch to a facility, back again — the hours planner is worth five minutes before you ask for a number. Booking five hours deliberately beats discovering overtime at 4:45 PM.

The company days that run smoothly all share one thing: a single document, sent ahead, with everything in it. We build the trip from whatever you give us, so the more of this we have, the less improvising happens.
- Every address in order, suite or tower name included. "The Williams Tower" beats a street number on a block with three separate lobbies.
- Which door. Downtown towers often have a motor court on one street and a locked entrance on another. Hotels have porte-cochère height limits a coach may not clear.
- An on-site contact who'll be on the vehicle, with a cell number. Not the person who booked it from another city.
- Hard times and soft times, marked. A 7:00 PM dinner reservation can slide. A 2:00 PM plant gate appointment cannot.
- The return plan. One departure for everyone, or an early run and a late run — both work inside your booked hours, since stops are unlimited, but the driver can't guess.
- Anything accessible. If a rider uses a wheelchair or can't manage steps, mention it at the quote stage so we can talk through which vehicles work. Our guide to accessible shuttles and party buses lists the questions worth asking.
Things shifting on the day is completely normal — a meeting overruns, a dinner moves across town. Call or text (281) 549-2511 and we'll adjust whatever we can inside your hours.

Drinks, boxed lunches, and who sets the rules
Our standard rules land on a company group the same way they land on a birthday group. Guests 21 and older may bring their own drinks in cans or plastic. We don't sell or supply alcohol. Glass stays off the vehicle, and so does food, which means the boxed lunches ride in the luggage bay and get eaten at the destination rather than in the seats.
Plenty of firms run dry vehicles in daylight and save BYOB for the evening party. That call is yours to make and yours to communicate to staff. And if interns or guests under 21 are riding with no parent or guardian aboard, the vehicle is dry for everyone on it.
Smoking and vaping aren't allowed inside any vehicle. Your driver will pull over for a break whenever somebody asks.
One number, and what's inside it
The figure you get back covers the vehicle for the full block, a licensed and commercially insured driver, fuel, mileage inside Greater Houston, taxes and fees, and the driver's gratuity. Nothing gets added at the curb, which keeps the expense report to a single line. Party buses and limousines also arrive with ice and bottled water in the bar.
What sits outside the number: overtime, billed after a 15-minute grace period and only when the vehicle is free to stay; any leg running farther than about an hour's drive from our base; and a cleaning fee if a vehicle comes back in a genuinely bad state.
A signed contract and a 50% deposit hold the vehicle, with the balance due 7 to 14 days out. A quote on its own reserves nothing. Whoever signs needs to be 21 or older. If your finance team wants particular paperwork before it can release funds, raise it when you request the quote — procurement timelines are the single most common reason a company loses the date it wanted.
On budgeting, history is the only guide we can give you. About 30% of the historical quotes in our records came in between $300 and $999 for the whole trip, and those skewed toward shorter blocks, smaller vehicles, and off-peak days, which describes an awful lot of weekday business travel. Past quotes, not current prices. The cost planner turns any total into the per-head figure your approval email needs, and our quote checklist shows what to compare if you're gathering numbers from more than one company.

Three places Houston traffic will make you late
Company itineraries have a talent for running at precisely the hours the freeways are worst. Three patterns account for most of the late arrivals we see.
I-10 and the Energy Corridor. The Katy Freeway between Highway 6 and the West Loop is heavy inbound each morning and outbound from around 4:00 PM. A 5:30 PM pickup in the Energy Corridor for a 6:30 dinner downtown is cutting it far too fine. Make it 5:00 and stop worrying.
The Medical Center at shift change. Fannin, Main, and Holcombe all seize up mid-afternoon. For a TMC pickup, give the driver a specific entrance and have your group downstairs before the vehicle arrives, because there's nowhere for a coach to sit and wait.
Downtown on a game or convention night. Street closures around Toyota Center, Daikin Park, and the George R. Brown Convention Center change which curb is even usable. Houston TranStar's live traffic map is worth thirty seconds on the morning of your event.
Nail down the headcount before the meeting breaks up and the vehicle choice answers itself.
If your event is one piece of something larger, the conference shuttle page handles hotel loops and the team building page covers offsite days where the ride is part of the agenda. For multi-day programs, our corporate transportation guide goes further.
